Preparing for your business trip away

Going away for work is a lot of fun, but it can be stressful at the same time, especially if you have a lot of meetings when you arrive at the destination you’re travelling to. To avoid stress and make your business trip more enjoyable, preparation is key. You want to make sure you have as much organised as possible before you step foot in the airport. 

So what preparation can you do beforehand? Organising a transfer will make getting to your hotel a lot easier. Booking luggage storage is also useful if you are checking out of your hotel early but flying late. Other preparations include having travel insurance (this is a must) and booking your accommodation as far in advance as possible – this means you can choose a hotel in your favoured location and the best hotels won’t be booked out.

Arranging a transfer 

For most, having a transfer organised for when they arrive in their location, reduces a lot of stress. By booking a transfer, you know someone will be waiting to take you to your hotel. This means you won’t have to rely on public transport or try to flag down a taxi on arrival. Plus, by booking one in advance, you are more likely to get a more competitive price and a vehicle of your choosing. 

Booking your travel insurance 

You should never go away without having travel insurance. Travel insurance is one of the first things you should book after organising your trip away. It covers you in case of a medical emergency (which we hope isn’t the case) and it will cover your luggage as well as any gadgets you are bringing with you. The best thing to do when looking for travel insurance is to run a number of quotes from price comparison sites. 

Researching luggage storage

Luggage storage is ideal if you are checking out of your hotel but flying late in the afternoon or evening. In most popular cities, there are a plethora of luggage storage options, where you can take your bags and leave them there, whilst you explore. You can then pick them back up anytime during the day, before heading back to the airport. If you use luggage storage, your items will be covered under their insurance, should something unexpected occur. Before booking a particular location, make sure you read the reviews, to see what previous customers and users have to say about that location. 

Organising your hotel

It’s always best to get your hotel booked sooner rather than later. The sooner you book, the more options you will have available to you, which will mean you can stay in your preferred area of the place you are travelling to. If you leave it too late, you risk good accommodation options selling out and having to pay more, for a worse hotel – often advanced booking saves you money. If you are not 100% sure where you are going to be on your business trip, you can book a hotel which offers a book now, pay later option, this way you can relax, knowing you have a hotel but can cancel, should something happen or be changed. If you are travelling with others and want to stay together, you could opt for an Airbnb. An Airbnb is great as it’s cheaper than a hotel and you can get your own private amenities, such as a hot tub, games room or swimming pool. And the rooms are often bigger than what a hotel offers. 

Booking excursions 

You may not have time on your business trip, but if you do, you may want to book some excursions before you arrive. Booking beforehand means you can plan the excursions around your business meetings, whilst also guaranteeing a slot. If you are going with a group of employees, booking beforehand makes it easier, as you can then all agree on what you would like to do, instead of having the pressure of deciding on the day, between you all. When you book in advance, like a hotel, some providers will offer you a free cancellation option, as long as you give them more than 24 hours.
