City to give update on fleet management system

MASON CITY – An update will be given at a city council work session this week on a fleet management system designed to allow supervisors to manage city workers remotely and determine the most efficient way to conduct business.

The work session will be held Thursday night, September 29 at 7:00 PM at city hall’s second floor conference room. According to a city document:

Fleet Management systems provide the opportunity to cut costs, work smarter and drive safely. The City has installed the GPS systems in a group of 26 vehicles in various departments to monitor fleet use, diagnostics and driver behavior. One of the primary goals of the installation of the systems is to monitor and influence driver behaviors that can save the City money through reduced fuel consumption.
The system can also monitor the behavior of drivers to reduce excessive acceleration and hard braking. The system allows you to monitor idle time for vehicles to allow the notifications to remember to turn vehicles off. The system also provides notifications to the maintenance staff through diagnostic trouble codes that can allow staff to address mechanical issues before they become major
repairs.

The system allows you to track where vehicles are located and where they have travelled to ensure the best routes are used to travel to job sites and to be able to dispatch the closest personnel to a job location.

The department director can do real time monitoring of the vehicles to see where the employees are at any given time. The director can also pull the system and see where the vehicle has been throughout the day. The supervisor can also set an alert threshold that can alert him/her to a violation of a particular measure. The best examples of these types of alerts are excessive speed, idle time and excessive acceleration and hard braking.

The director can also create reports for each vehicle to determine the performance of the vehicle and in turn the use of the driver. The reports can then be reviewed with the driver to discuss changes in behavior of use of the vehicles. I have included a copy various reports that can be run. I plan to have the system up on my laptop computer at the work session to run through various screens of information.

The fuel usage reductions and other driver behavior changes are desired goals with the implementation of this system. Each hour of idling time costs the City a gallon of fuel. The safer driver behaviors will help to reduce the potential for accidents and keep our insurance costs down. The management of personnel and accountability for work conducted during the day is much easier with this system.
